    DUTIES AND RESPONSIBILITIES:

    • Providing pleasant and professional customer service to all office personnel and guests as it relates to Firm business
    • Upkeep of all general office areas, maintenance of all office equipment and monitoring/stocking of all office supplies maintained in all general office areas
    • Assisting with all aspects of document reproduction and processing: copying, scanning, bates-stamping, document binding and faxing.
    • Troubleshooting and performing minor repairs (i.e., clearing paper jams, changing toners/ink cartridges, emptying equipment waste receptacles, etc.); scheduling service calls as needed
    • Conference room set up and clean up
    • Covering receptionist duties as needed
    • Cleaning the kitchen and related equipment on a regular basis, including filling, running and emptying the dishwashers
    • Prioritize multiple projects, adjust workload accordingly, and timely seeking guidance
    • Flexibility with assigned work

    SKILLS AND EDUCATIONAL REQUIREMENTS:

    • High School Diploma or equivalent
    • Two (2) years of experience
    • Ability to understand written and verbal instructions
    • Must be able to lift 25 - 50 pounds properly. (Position requires some lifting and moving of various office equipment. Ability to retrieve and distribute files or boxes, written documents or office supplies weighing up to 25 pounds and ability to retrieve and replace objects to/from shelves of up to 8 feet high.)
    • Must have working knowledge of general office equipment: copy, postage, binding, shredding and hole punch, etc.
    • Experience troubleshooting the same equipment a PLUS
    • Experience producing within Microsoft Office programs necessary
    • Flexibility to work overtime as needed
    • Ability to work independently and collaboratively

  • (9/19/14) Legal Assistant. Small law firm located at Watt/50 seeks a full-time legal assistant. We are looking for an organized, detailed oriented and well-rounded person willing to learn/handle all aspects of a law office. Must be motivated and a self-starter with excellent grammar and proofreading skills. Must play well with others, i.e., be a team player.

    Qualifications: Basic knowledge of California and federal rules and procedure, knowledge of conducting basic discovery and law and motion and possess technical skills. Proficient in Microsoft Office Suite, WordPerfect, Outlook, TABS, Practice Master, and CaseMap is preferable. If you don't know it, you're a quick learner.

    Duties will include initially working at the direction of the office administrator as the legal assistant to two senior partners who maintain a litigation practice in both state and federal court. We're a team, so must be willing to do what it takes to get the job done and keep the office running. Basic tasks include organizing and maintaining both paper and electronic files, preparation and filing of legal documents with the court, managing attorney calendars, correspondence and communication with clients, courts, and attorneys, and answering phones.

    Competitive salary commensurate with experience – but extensive experience not necessarily required so long as you have basic litigation and computer skills, are bright, self-motivated, and a team player willing to learn.

  • (8/20/14) Legal Secretary II Exam. The County of Sacramento is accepting applications for Legal Secretary II exam 28111-C. A Legal Secretary II performs a wide variety of specialized legal and general clerical work which includes composing and typing legal documents and correspondence; processing of legal documents, and maintaining legal case records. The work performed requires independent judgment/discretion and is subject to minimal direction and instruction. The range of duties typically involves performing work in multiple, unrelated areas of law and for several attorneys, and/or other staff. Incumbents may be required to use shorthand to perform some work assignments and frequently provide lead direction to other clerical staff.

    Applicants must meet the special requirements below AND

    EITHER: One year of experience in Sacramento County service in the class of Legal Secretary I OR Two years of clerical experience involving the preparation and processing of legal documents for court action such as those described in the Examples of Duties. Education or training from an accredited college, business school, or training school that is directly related to the Knowledge and Abilities specified for this class may be substituted for a maximum of one year of the required experience (30 semester units or 45 quarter units equal one year of experience.)

    Special Requirements

    All positions in this class require the ability to type from clear copy at the rate of 50 net words per minute.

    Some positions in this class may require taking oral dictation involving legal terminology. To be eligible for appointment to a “short-hand-required” position, the applicant must have the ability to take oral dictation, using any speedwriting method, at the rate of 100 words per minute and transcribe at the rate of 30 net words per minute. Where the oral dictation skill is required, it is used in performing the typical duties of the class as shown in the “Examples of Duties” (located in the class specification). The Civil Service Commission approved the use of selective certification for this special skill on March 7, 1985.

The candidate must have previous law and motion, discovery, trial preparation, and appellate support experience.
